1. Who this covers
This policy describes how Metrecx Solutions, LLC ("Metrecx", "we", "us") collects, uses, shares and protects information about people who visit this website, submit a form on it, send us documents, or work with us on a home purchase.
Metrecx is not a bank, a mortgage company, or a real estate brokerage. Some of the information we handle is nonpublic personal financial information, and we treat it under the standard that applies to financial institutions under the Gramm-Leach-Bliley Act, whether or not that standard is required of us in a given transaction.
2. Information you give us
When you submit a form, call us, or work with us, you may give us:
- Contact information such as your name, email address, phone number, and the area where you are looking to buy.
- Information about your situation: how you are paid, what you have available for a purchase, what has happened with previous attempts to buy, and whether you are working with a real estate agent.
- Financial documents you upload through our secure portal, which may include pay stubs, tax returns, bank statements, and government identification.
- Anything else you choose to tell us in a message, a call, or an attachment.
Please do not send account numbers, Social Security numbers, or documents through the contact or application forms on this site. Those forms are not the secure channel. Use the secure portal described in section 6.
3. Information we collect automatically
Like most websites, this one records technical information when you visit: IP address, browser and device type, pages viewed, referring page, and approximate location derived from IP address. This is collected through cookies, pixels and similar technologies.
We use advertising and analytics services that set their own cookies and receive their own copy of some of this data, including services operated by Meta Platforms and Google. Those companies use that information under their own privacy policies, which we do not control. You can limit some of this through your browser settings, your device's advertising controls, and the opt-out tools those companies publish.
We do not currently respond to browser Do Not Track signals, because there is no common standard for what a site should do when it receives one. We do honor the opt-out preference signals required under state privacy laws where they apply to us.
4. Information from other people
With your permission, or where a transaction requires it, we may receive information about you from a real estate agent or broker you are working with, a lender or loan officer who referred you, a consumer reporting agency, a title or escrow company, an appraiser, or a funding source involved in your purchase.
We request a consumer report only with your written authorization, and only for a purpose permitted under the Fair Credit Reporting Act. If information in a consumer report affects a decision about your transaction, we will tell you and identify the agency that supplied it, so that you can dispute anything that is wrong.
5. How we use information
We use information to evaluate a home purchase you are considering, to communicate with you about it, to build and document a transaction structure, to meet legal and recordkeeping obligations, to detect fraud and protect our systems, and to improve the site and our own explanations.
We use your phone number and email address to reach you about your inquiry, including by text message where you have provided a mobile number. Message and data rates may apply. You can tell us to stop at any time by replying STOP to a text, by asking the person handling your file, or by using the contact information in section 12.
We do not use your financial documents for advertising, and we do not build advertising audiences out of the information you upload to the secure portal.
6. How we share information
We share information only as described here:
- With people in your transaction. Your real estate agent, and the licensed professionals a purchase requires, such as title, escrow, closing attorneys, appraisers and insurers.
- With funding sources. Parties evaluating or providing the private funding behind a purchase, to the extent they need the information to do so.
- With service providers. Companies that operate tools on our behalf, including our secure document and e-signature provider, our email and phone systems, and our customer records system. They are permitted to use the information only to provide the service.
- When the law requires it. In response to a subpoena, court order, regulator request, or where necessary to protect rights and safety.
- In a business transfer. If Metrecx is acquired or merges, information may transfer as part of that transaction, subject to this policy.
We do not sell personal information, and we do not share it for cross-context behavioral advertising in exchange for money. Some state privacy laws define "sale" and "sharing" broadly enough to cover the advertising cookies described in section 3. To the extent those definitions apply, you may opt out using the contact information in section 12.
7. Documents you send us
Documents you upload are received and stored by Metrecx, encrypted in transit and at rest, and every access is recorded. They are then passed to the secure document service we use to work your file, and signature events are logged there in a tamper-evident record. Signing in takes a one time code sent to your email address; there is no password to create or remember.
That provider processes the files on our behalf and under its own security and privacy commitments. We give you the portal address directly, and it does not change.
If you receive a request for documents that does not go through that portal, treat it as fraudulent. Call us at the number on this site before sending anything.
8. How long we keep information
We keep transaction records for as long as the transaction and applicable law require, which for real estate and financial records is typically several years after closing or after a file is closed without a transaction. We keep contact records until you ask us to delete them or until they are no longer useful, whichever comes first.
When we no longer need a document, we delete it or destroy it in a way appropriate to its sensitivity.
9. Security
We use access controls, encryption for documents in transit and at rest, and limits on who inside Metrecx can see a given file. Only people working on your transaction have access to it.
No system is perfectly secure, and we will not claim otherwise. If a breach occurs that affects your personal information, we will notify you as required by the laws that apply to you.
10. Your choices and your rights
You can ask us, at any time, to tell you what information we hold about you, correct something that is wrong, delete information we are not required to keep, stop contacting you, or stop using advertising cookies associated with your visit.
Depending on where you live, state law may give you formal versions of these rights, including the right to know, the right to delete, the right to correct, the right to opt out of sale or sharing, the right to limit use of sensitive personal information, and the right not to be treated differently for exercising them. We apply these rights to anyone who asks, regardless of state, because maintaining two standards is not worth the trouble it causes.
To exercise any of this, use the contact information in section 12. We may need to verify who you are before we act, particularly on a deletion request. We will respond within the time the applicable law allows, and we do not charge for a reasonable request.
11. Fair housing and children
Metrecx supports the principles of the Fair Housing Act. We do not use, and do not permit our advertising vendors to use, targeting or exclusion based on race, color, national origin, religion, sex, familial status or disability.
This site is not directed to children, and we do not knowingly collect information from anyone under 18. If you believe a child has given us information, contact us and we will delete it.
12. Changes and how to reach us
If we change this policy, we will update the date at the top of this page. If a change materially affects how we handle information we already hold about you, we will make a reasonable effort to tell you directly.
